Custom patient software for DME suppliers
Patient software built around how your store works
We build web-based patient systems for durable medical equipment suppliers. Your system is built from scratch for your store, and you decide what it includes and how it works. We set it up around your existing process and use your own forms and branding.
Works in a web browser on the computers and iPads you already have.
Who it's for
We build for small DME suppliers that bill insurance for products like diabetic shoes, CPAP, compression wear, mobility equipment and orthotics.
If your team is working from paper folders and faxes, or using software that makes your staff work around it, we can build a system that fits your process instead.
Built for your store
Your system is a custom build for your store alone. We start by learning how your store runs, then build the system to match it. If something can be done in software, we can build it into your system.
You choose the features
Pick the parts you need, from a full patient system to a single tool for one job. More can be added later as your needs change.
Your workflow
Folders, statuses, steps and assignments are set up to match how your team already works. If your store does something differently from other suppliers, the system is built to do it your way.
Your forms and wording
Your existing forms are rebuilt to match the paper versions. Folder names, field names and patient messages use the terms your staff already use.
Your branding
Staff screens and the patient page use your logo and colors. Our name appears only in a small "Powered by Praxis DME" line in the footer.
Works with your setup
You keep your current point of sale system, billing company and fax number. Nothing needs to be installed.
Changes after launch
If your staff need a new form or want something to work differently, we build it. Updates are added without rearranging screens your staff already know.
An example build
Below is the system we built for one DME store, shown with sample data. Every screen was designed around how that store runs and what its staff asked for. Yours would be designed around your store and can work completely differently.
That store's patient process
ID card intake
The front desk was typing patient details off ID and insurance cards by hand. We added a photo reader: staff take a picture of the card and the registration form fills in, with anything the system read highlighted until someone checks it.
Faxes matched to patients
Prescriptions reach this store by fax. Staff wanted each one on the right patient's record without searching for it, so we built an inbox that reads every incoming fax and suggests a match for staff to confirm.
Billing packets
The store's billing company wanted each patient's paperwork in one file, with the pages in the same order every time. We built a packet with a cover sheet listing the codes and authorization number.
The store's billing lead reviews the day's packets, and they go out together in one email that evening.
Patient status page
This project started because the store wanted patients to be able to check on their order without calling. Patients sign in with a code sent to their phone and see the status in wording the store wrote. They also get a text when it changes, and a short survey after delivery.
Folders
Staff were used to sorting patients into folders, so the system uses the folder names they already had, like Waiting on Rx and Waiting on auth. Patients move between folders by drag and drop.
Prior auths
The person who handles prior authorizations asked for all of her open cases on one screen, with what's still missing for each. Approvals carry through to billing.
The store's own forms
The store's SWOs, CMNs and other forms had to look exactly like the paper versions staff knew. We recreated them with the store's logo and layout, and patients sign them on an iPad.
Already in use
The system shown above has been in daily use at a DME store since 2026. It started as a page where patients could check their order status. Over several months, based on staff feedback, it grew into the store's full patient record. Most of its features were requested by the store's staff.
We're a small company, and you'll work directly with the developer who builds your system.
HIPAA and patient privacy
We act as your business associate under HIPAA and sign a business associate agreement (BAA) with you before any patient data is entered. These protections are included whatever else you choose to build.
Access
Each staff member has their own login, and roles control what each person can see and change. Screens lock after a period of inactivity, and too many wrong codes temporarily lock that screen. Temporary passwords expire after 30 minutes.
Audit log
Every change to a patient record is logged with the user and time. Sign-ins are logged too.
Encryption and backups
Data is encrypted in transit and at rest on US-based cloud servers. Our hosting and database providers have signed BAAs with us. The database can be restored to any point in the last 30 days, and patient records are archived, not deleted.
Patient sign-in
Patients sign in with a one-time code sent to their phone or email. Code requests are limited per day.
Your part
Your store remains the covered entity and is responsible for its own privacy policies and staff training. We're responsible for the system and its hosting.
There's no official HIPAA certification, so we don't claim one. We can send you our BAA to review.
How a build goes
-
Store visit
We spend time with your staff to learn your current process and collect copies of your forms.
-
Plan
Together we decide what the system will include and how each part should work.
-
Build
We build it with your logo and colors, around the process we agreed on.
-
Staff review
Your staff test it on practice patients and tell us what to change. Real patient records go in once they're comfortable.
-
Ongoing support
Monthly updates and security checks, plus changes when you need them.
Features in the example build
These came from the build shown above. Yours can include any of them, plus anything else your store needs.
- Registration from ID and insurance card photos
- Fax and scan reading with patient matching
- Referral tracking, with provider lookup by NPI
- Prior auth tracking
- Billing packets and a nightly email to your biller
- Your own forms, filled in and ready to sign
- Signatures on the iPad
- A patient status page with text and email updates
- Surveys after delivery
- Staff roles and permissions
- A list of patients due for a new item this year
- Change history on every record
Other things we can build in: barcode scanning, appointment reminders, connections to other software you use, or anything else your process needs.
Questions
Can you build something that isn't on this page?
Yes. Your system is built to order, and the screens on this page are only an example. If it can be done in software, we can build it.
Do we have to change our forms or how we work?
No. We rebuild your current forms and set the system up around your existing process.
What does it run on?
Any current web browser. The store using the system shown here runs it on Windows PCs, Macs and iPads.
Is it HIPAA compliant?
We sign a BAA with you, and our hosting and database providers have signed BAAs with us. Details are in the HIPAA section above. Your store is still responsible for its own policies and training.
What does it cost?
Pricing depends on what you need and how many locations you have. We'll quote after we've looked at how your store works.
